Currently, the Pass system does not offer a feature to send a real-time push notification or alert to an admin specifically when a certain student creates a pass.
However, depending on what you are trying to accomplish, there are several workarounds using the system's Limits and Reporting features that might help you manage these students:
If your goal is to restrict or intercept the student's movement:
- Limit Student Pass: You can set a strict limit on the number of passes a specific student can create (e.g., setting a very low daily or weekly limit). Once the student hits this limit, they will receive an error message and be blocked from creating their own passes. If a teacher attempts to create a pass for that student, the teacher will receive a warning on their screen alerting them of the limit, though they still have the option to override it if necessary.
- Limit Location Availability (Access Denied): If you are primarily concerned about a student visiting a specific location, you can set an "Access Denied" limit for them. This removes the location from the student's destination list. If a teacher tries to send the student to that restricted location, the teacher will get a red alert message warning them of the restriction.
- Contact Control: If your concern is that a certain student might be meeting up with another specific student, you can pair them in Contact Control. If one student is out on a pass, the system will block the other from creating a pass and will alert teachers if they try to create a pass for the second student.
If your goal is simply to monitor the student's activity:
- Dashboard Filtering: On your Pass Dashboard, you can use the "Advanced Search" to filter your view by a specific student's name or Student Number. This allows you to easily isolate and monitor that specific student's active passes throughout the day without having to comb through the entire school's pass list.
- Summary & History Reports: You can frequently run a "Summary Report" for "Students (pass takers)" or search the "Pass History" by the student's name. This allows you to review how many passes the student has taken, their specific destinations, and their total missed instructional time.
