How to Set and Customize Student Pass Limits

To give specific students additional (or unlimited) passes while maintaining a standard limit for the rest of the student body, use the CSV Upload method.


Phase 1: Prepare Your Student List

  1. Remove Building-Wide Limits: If you have a general limit set for the whole school, delete it first to avoid conflicts.

  2. Generate Your Email List: * Navigate to Users > Main Users.

    • Filter the Role column to show only Student.

    • You must show "All Entries," instead of the defaulted 25.

    • Click Download CSV.

  3. Refine the CSV File:

    • Open the file and delete all columns except the email column.

    • OPTIONAL: Remove the rows of any students who need unlimited passes or a higher, customized limit (you can also adjust this after you have uploaded the file).

Phase 2: Upload and Apply Limits

Once your file is ready:

  1. Navigate to the Student Pass Limit screen.

  2. Complete the required fields to set the daily limit (e.g., 3 passes per day).

  3. Click the UPLOAD CSV button.

  4. Select your prepared file.

  5. Click Save.


Managing Special Groups (Increased Limits)

  • If you want students to have Unlimited passes and you have not yet removed them from the CSV, search for the user on the Student Pass Limit screen, go to the 3 dots in the action column, and click delete. 

  • If you do not want students to have unlimited passes, but they should have more than the standard group, find the student's name on the Student Pass Limit screen and click the 3 dots in the action column, click edit to adjust their specific count.


Important Reminders for Admins

  • New Students: When a new student is enrolled, they will have unlimited passes by default. You must manually add them individually to the Student Pass Limit list or re-upload an updated CSV to restrict them.

  • Pro-Tip: Always keep a "Master" version of your CSV on your computer. It is much faster to add or remove a few emails from a saved file and re-upload than it is to build the list from scratch each time.

  • Date Ranges: If you set a pass limit for a specific timeframe (e.g., a semester), the limit will expire automatically. You are responsible for resetting the dates to keep the limits active.
