The recommended way to provide substitutes with Pass access is to create a limited Substitute Account and assign a PIN. Substitute teachers do not log in to the Pass system. Instead, they can approve and end student-created passes using a PIN provided by an admin.
How to Create a Substitute Account
- Go to Admin Control Panel > Users > Substitute Users.
- Complete the fields in the "Add Substitute Teacher" section.
You can set a PIN yourself or have the system generate one.
How Substitutes Use Pass
- The student will use their normal workflow to submit a pass (creating the pass from their absent teacher.)
- Approval: From the student's device, the substitute clicks the teacher's name, enters their substitute PIN on the popup screen, and clicks "APPROVE."
- Ending: When the student returns, the substitute clicks the pass location, enters their PIN again, and clicks "END/KEEP."
All substitute actions are documented in the pass history (highlighted in red).
