How to manage classes manually

Dyknow's Classes feature enables Dyknow Tech Coaches and Administrators to:

  • Manually create, edit, and archive Classes;
  • Sort and review Classes by
    • Class name
    • Assigned Teacher(s)
    • School
    • SIS Class ID
    • # of Students
    • Last Monitored Session
  • Identify Classes that have never been monitored and Teachers who have (not) used Dyknow recently; and,
  • Access the Class History data for any Class in the school/district.

This document is a resource for Dyknow Administrators and Tech Coaches to understand how to:

 

CREATE A CLASS

When a class does not exist in the school's Student Information System (SIS) - for example: after-school programs, in-school suspension, study hall, etc. - manually creating a Dyknow Class is a great option.

Follow the steps below to manually create a new Class in Dyknow.

1. Click the gear icon DyKnow_Web_App_-_gear_icon.png; you will be redirected to the Admin Settings.

2. Click the Classes tab.

3. Click Create New Class; the Create Class modal will appear.

4. Complete the *Required fields on the Details tab, including:

  • Class Name
  • School
  • Teachers
  • Start Date
  • End Date

Note:

  • Multiple teachers can be added to a class, but at least one Teacher must be added.
  • It's best to leave the SIS Class ID field blank when manually creating a new Class.

5. Click the Students tab in the Create Class modal to add students to the Class roster.

Note: You can choose to not enroll any students in this Class and then the Dyknow Teacher assigned to this Class can manage their own roster.

6. Search for and select student users to add to this Class.

7. Click Save.

 

EDIT A CLASS

Follow the steps below to manually edit a Class in Dyknow.

1. Click the gear icon DyKnow_Web_App_-_gear_icon.png; you will be redirected to the Admin Settings.

2. Click the Classes tab.

3. Search for an existing Class and click the associated pencil icon to edit the Class.

4. Make your desired changes.

Note: If your school is mass-importing school roster data into Dyknow:

  • Classes are matched based on SIS Class ID, so we do not recommend editing the value of the SIS Class ID field in Dyknow. If you create a new Class, leave the SIS Class ID field blank.
  • The next data import will overwrite any manual roster edits for Classes with a SIS Class ID. If your Class roster(s) should be "permanently" updated, please update your SIS first, and ensure these updates import into Dyknow.

5. Click Save.

 

ARCHIVE A CLASS

To avoid the loss of Class Analytics data, any Class that has been monitored cannot be deleted. However, Classes can be archived.

Follow the steps below to manually archive a Class in Dyknow.

1. Click the gear icon DyKnow_Web_App_-_gear_icon.png; you will be redirected to the Admin Settings.

2. Click the Classes tab.

3. Search for the Class and click the associated pencil icon to edit the Class.

4. Set the Class End Date to the desired expiration date, which must be less than today's date.

5. Click Save; the Class will now appear in the Previous Classes tab.

 

REVIEW CLASS DATA

Follow the steps below to review Class data in Dyknow.

1. Click the gear icon DyKnow_Web_App_-_gear_icon.png; you will be redirected to the Admin Settings.

2. Click the Classes tab.

3. Locate a specific Class using a combination of Search, sorting column headers, and/or filtering by School.

4. Click the expand button on any class to see more details, including:

  • Start Date
  • End Date
  • Period
  • Grade
  • Description
  • Teachers
  • Roster
