Back to school is here again! Time to rollover your data in your SIS and prepare student devices for the new academic year.
STEP 1: UPDATE ROSTER DATA
Once you have rolled over your roster data in your SIS with new roster data ready for the new school year, your next Dyknow import will likely go on hold due to the high number of updates coming from your SIS (new users, classes, and enrollments). Any admin users listed under the Settings tab of Import Manager will be notified by email when this happens asking them to review and check the data on hold. Please refrain from processing the hold. The rollover process in Dyknow is not automatic. Our Dyknow team works hard to quickly notice this change with your data and processes your rollover manually if things appear to look accurate (low percentage of errors). The rollover process from our Dyknow team also includes mass archiving old users and classes. If your import has still been on hold for several days or weeks, please reach out to Securly support at support@securly.com for further assistance in expediting your rollover.
Please reference the following information below to learn how to use Import Manager to sync or upload your SIS roster data into Dyknow: Introduction to Import Manager
DIRECT API INTEGRATIONS
Synchronize your roster data with Dyknow via direct integration with your SIS’s API.
STANDARD EXPORT FILES
Synchronize your roster data with Dyknow via standard exports from your SIS.
CUSTOM FILES
Create import files using your SIS data that matches Dyknow’s data import templates.
- Prepare Custom Import Files
- Upload Roster Import Files to FTP Folder
- Process Roster Import Files with Import Manager
MANUAL ENTRY
Manually create Users and Classes in Dyknow; ideal for schools without a SIS or unable to export data from their SIS.
STEP 2: INSTALL CLOUD CONNECTOR ON STUDENT DEVICES
If you have new or reimaged student devices, please ensure the latest Dyknow Cloud Connector version is pushed out and installed on student devices! This will help ensure Teachers do not have issues monitoring students. Please review installation instructions below for each device type. Teacher devices do not require Dyknow to be installed. Teachers only need access to the Dyknow portal (www.dyknow.me) to monitor students in their classes.
CHROMEBOOK DEVICES
WINDOWS DEVICES
MAC DEVICES
Note: If your students are using Mac OS 10.14+, the Mac privacy profile must be installed for all Dyknow features to work. If your district maintains student Mac devices via third-party, like an MDM software, install the Dyknow Privacy Profile.
STEP 3: TEACHER TRAINING
Share Dyknow's Training Video with your teachers to help prepare them how to monitor students when classes start. To clarify, classes won't populate on teacher dashboards until their Start date. For admins, classes with a future start date will display under Future Classes until their start date and then they will move to Current Classes. Once classes have passed their End date, they will move to Previous Classes. In order to test monitor a class before classes start, you can either manually create a test class with a current start date or manually update the start date on an existing future class.
STEP 4: CONFIRM BLACKOUT SETTINGS
Go to Admin settings (gear icon) > Blackout settings tab to verify the following: Manage Dyknow Blackout Settings
- Enable/Disable Monitoring by School
- Select times of day when teachers can monitor students
- IP Restrictions
- Teacher Restrictions
STEP 5: CONFIRM ACCOUNT DETAILS
Go to Admin settings (gear icon) > Account tab and verify the following details appear accurate:
- Subscription type
- Renewal date
- Student license count
- Primary Admin contact
- Primary Billing contact
If any of these need to be updated, please contact Securly support at support@securly.com for further assistance.
