If some users are receiving appointment emails while others are not, it is likely due to individual profile configurations or specific administrative settings.
1. Adult (Teacher/Staff) Settings
Adult users can manage some appointment pass notification preferences. If a staff member isn't receiving alerts:
Reminder Toggles: Go to Profile Settings and ensure the toggles for 20-minute or 5-minute reminders are enabled.
Student Request Notifications: To be notified when a student requests, edits, or cancels an appointment, the Email Notification setting must be toggled ON in the adult's Profile Settings.
2. Student Settings
Students cannot manage their own email preferences. This is controlled at the administrative level:
Module Settings: Administrators must check the designated box in the Appointment Pass Module to enable 20-minute and 5-minute email reminders for students.
3. "Morning Agenda" Email Rules
The system sends a daily summary email, but only if the following conditions are met:
Created in Advance: The appointment must have been scheduled at least one day prior.
Location Constraints: The appointment cannot be scheduled to a generic "Location." If an appointment is tied to a room/location rather than a specific person, the Morning Agenda email will not trigger.
Email Notifications Enabled: Admins have Morning Agenda emails enabled in Modules for all adults or students.
